PRIMARY PERFORMANCE RESPONSIBILITIES:

  • Supports the hiring process at the Center for Special Services by performing clerical tasks related to hiring and recruitment events.
  • Works with the personnel assistant in the Human Resource Department to monitor job postings and communicate timelines and deadlines for the hiring process.
  • Supports the hiring supervisors in preparing for the interview process by assembling applications for supervisor review, scheduling interviews, and preparing interview materials.
  • Schedules and facilitates the new hire on-boarding process at the Center for Special Services.
  • Monitors and records details of time/leave charges on appropriate records and maintains records of same.
  • Establishes and maintains employee personnel records including paperwork relating to Civil Service, New York retirement System, Worker’s Compensation, FMLA, etc.
  • Answers questions concerning civil service rules and procedures.
  • Maintains records on positions lines, transfers, separations, and leaves without pay.   
  • Prepares routine letters, memoranda, forms, etc.
  • Uses computer applications or other automated systems such as spreadsheets, word processing, calendar, e-mail, and database software in performing work assignments.

PRIMARY PERFORMANCE RESPONSIBILITIES:

  • Performs executive secretarial functions for school principal.
  • Relieves school principals of details which do not require their personal attention by the use of discretion, tact and thorough knowledge of district/office policies and procedures.
  • Extensive computer application/database system management to produce all levels of correspondence and reports.
  • Maintains calendar of appointments for the principal, ensuring the principal is apprised of all appointments and changes as well as matters requiring immediate attention.
  • Takes notes of minutes of meetings or hearings and prepares them to be in final document format.
  • Ability to work in a fast-paced diverse environment, self-starter, systems thinker, excellent communication skills.
