PRIMARY PERFORMANCE RESPONSIBILITIES:

  • Utilizes automated word processing equipment using internally stored systems and procedures to produce correspondence, forms, reports, statistical information and other office/departmental data.
  • Provides general administrative and clerical support to enhance the operation of the office to which the incumbent is assigned.
  • Sets up automated filing systems for the storage and retrieval of data; Maintains accurate and complete records and files.  
  • Manipulates, revises or copies data to produce and/or enhance reports. 
  • Compiles a variety of data from automated and manual office records and outside sources to create reports for staff, departments or governmental agencies.  
  • Composes, proofreads, edits, corrects and formats memos and correspondence.
  • Composes correspondence or transcribes meeting minutes from verbal instruction, written notes, or tape recordings.
  • Maintains appointment calendar for professional staff, schedules appointments and sets up meetings for administrators, staff, students, etc.  
  • Answers telephone calls and either independently handles requests for routine information about department or office procedures and programs or routes calls to appropriate staff.  
  • Receives, reviews and processes forms, papers and other documents in accordance with established procedures.
  • Prepares purchase orders and maintains inventory of office supplies and forms.

PRIMARY PERFORMANCE RESPONSIBILITIES:

  • Performs executive secretarial functions for school administrators in a fast-paced collaborative work environment.
  • Assists in the preparation of personnel agendas for board meetings. 
  • Performs data entry of all new hires and personnel changes into HR management system and communicates with various department members and payroll.
  • Prepares offer letters and board appointments letters.
  • Relieves administrator of duties that do not require their personal attention.
  • Serves as the primary point of contact for the Human Resources department, fielding all internal and external inquiries to provide immediate assistance or strategically route callers to the appropriate subject matter expert.
  • Serves as a dedicated HR resource and partner to all center-level staff, working collaboratively to provide guidance, clarity, and support regarding personnel workflows and district-wide practices.
  • Make appointments and schedules meetings for administrators as directed.
  • Opens, sorts and reads incoming mail and email and independently prepares replies to routine correspondence.
  • Maintains files of both general and confidential information pertinent to the activities of the office.
  • Organizes and coordinates the special activities for Human Resources i.e. HR Drop- In sessions, New Hire Check-In sessions, and tenure and years of service celebration.
